Standard Terms of Trade & Client Assurances


1. Estimates & Design Fees

  • All initial budget estimates provided prior to final site measurement and CAD drafting are approximations and subject to change based on final material selections.

  • A non-refundable Design Retainer is required to commence site measuring, 3D CAD modeling, and generation of working drawings.

  • If the client proceeds with the manufacturing of the approved design, 100% of the Design Retainer will be credited toward the final project invoice.

2. Payment Milestones

To ensure steady procurement of premium materials and protect the manufacturing schedule, all custom commissions adhere to a strict 40/40/20 milestone schedule:

3. Drawing Approval & Variations (Scope Creep)

  • Manufacturing commences strictly according to the approved and signed final CAD drawings.

  • Any requests for alterations to dimensions, design details, timber species, or hardware after the drawings have been signed off and the 40% deposit has been paid will be treated as a Variation.

  • Variations require a written Change Order outlining the additional costs (including wasted materials or administrative time). Work will pause until the Change Order is approved in writing by the client.

4. Natural Material Characteristics

  • Solid timber is a natural, living material. Variations in grain pattern, color, and texture are inherent characteristics of the wood and are not considered structural or visual defects.

  • Minor seasonal movement (expansion and contraction) is expected as the timber adapts to the humidity and temperature of its final environment.

  • The client will be provided with a Timber Care Guide upon handover. Damage resulting from improper cleaning chemicals, excessive moisture, or placement in direct, unshaded sunlight is not covered under warranty.

5. Site Readiness & Installation (Architectural Joinery Only)

  • For built-in joinery, the installation site must be clear of obstacles, dry, level, and safely accessible by the agreed-upon installation date.

  • If the site is not ready due to delays from other trades, or if access is restricted resulting in installation downtime, a standby rate of $130 per hour (ex GST) may be applied.

6. Photography & Promotional Use

  • Unless otherwise agreed in writing, we reserve the right to professionally photograph the completed joinery or furniture piece (either in the workshop or post-installation).

  • These images may be used for portfolio, website, and social media marketing purposes. Client privacy and location details will always remain strictly confidential.
